Privacy Policy

This Privacy Policy explains how Texpedite, LLC (“HandOut,” “we,” “us”) handles information when you use hand-out.org, app.hand-out.org, and related APIs and session join pages (the “Service”). Questions: support@hand-out.org.
1. Who this covers
It covers account holders (attorneys, paralegals, organization admins), billing contacts, and people who join a live session with a code or link (witnesses, opposing counsel, court reporters, and other guests). The law firm or organization that uploads case materials is responsible for that case content and for telling participants how it will be shared in the deposition or hearing.
2. Information we collect
- Account data: name, email, password (stored hashed), role, organization, MFA status, and login security events.
- Case and exhibit files: PDFs, images, video, audio, annotations, exhibit numbers, folders, and related metadata that you or your organization upload or create.
- Session data: session codes, who joined, current exhibit and page, presenter actions, and connection quality needed to run a live room.
- Guest join data: display name and device/browser information reasonably needed to admit someone to a session. Guests do not need a HandOut account.
- Billing data: plan, subscription status, and payment-related identifiers. Card numbers are processed by Stripe, not stored on HandOut servers.
- Technical logs: coarse device and request metadata for security, uptime, and abuse prevention. We design logs so they do not include exhibit contents, full tokens, or unnecessary personal detail.
3. How we use information
- Provide, secure, and improve the Service (accounts, storage, live sync, sharing, support).
- Authenticate users, enforce roles, and detect abuse or unauthorized access.
- Process subscriptions and send transactional email (invites, receipts, security notices).
- Comply with law and protect the rights of HandOut, our customers, and session participants.
We do not sell your personal information or case files.
4. Sharing
We share information only:
- With people you (or the session host) invite into a case, folder, package, or live session.
- With processors that host or operate the Service, such as cloud storage, database, cache, email, and payment providers, under contract to handle data on our instructions.
- If required by law, court order, or to prevent serious harm, fraud, or a security incident.
- In a merger, acquisition, or asset transfer, with notice if required.
Hosts control who sees exhibits in a live session. If a host shares a document, guests in that session can view it for the purpose of that proceeding.
5. Retention
Account and case materials remain until the customer deletes them or the account is closed, subject to backups, legal holds, and billing/audit records we must keep. Live session connection state is temporary. You may request deletion of an account by contacting support@hand-out.org; we will say if a legal or operational exception applies.
6. Security
We use access controls, encrypted transport, time-limited file URLs, role-based permissions, and optional MFA. No method of transmission or storage is perfectly secure. Customers must use strong passwords, invite only intended participants, and follow any protective order that applies to the matter.
7. Your choices
- Update profile and organization settings in the app.
- Enable MFA, reset passwords, and remove users you administer.
- Delete cases, exhibits, or your account where the product allows, or by emailing us.
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Email support@hand-out.org to exercise those rights.
8. Children
The Service is for professional legal use. It is not directed to children under 16, and we do not knowingly collect personal information from them.
9. International use
The Service is operated from the United States. If you access it from another country, you understand that information may be processed in the U.S. and in the locations of our processors.
10. Changes
We may update this policy. The “Last updated” date will change, and material changes may also be announced in the app or by email. Continued use after the effective date means you accept the updated policy.
